Terms of Service

Welcome to SunBooks! These Terms of Service (“Terms”) govern your use of our bookkeeping application (the “Service”) that integrates with Quiltt, Paddle, Stripe, and Google Sheets. By using our Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.

1. Overview

SunBooks provides users with tools to generate invoices, manage subscriptions, and track financial data using Google Sheets, with integrations to third-party services like Quiltt, Paddle, and Stripe.

1A. Service Architecture

SunBooks is provided as a Google Sheets template with embedded Google Apps Script that primarily runs within your Google Workspace environment.

Most bookkeeping data remains within your Google account. Certain features, including AI-assisted transaction review, bookkeeping assistance, financial statement analysis, business discussions, and other optional AI-powered features, may securely transmit relevant information to third-party AI service providers for the purpose of generating responses.

SunBooks only transmits the information reasonably necessary to provide these AI features. We do not sell your financial information or use it for advertising.

2. Eligibility

You must be at least 18 years old and capable of forming a binding contract to use the Service. By using the Service, you represent and warrant that you meet these requirements.

3. Integrations

Your use of third-party services (e.g., Quiltt, Stripe) is governed by their respective terms and privacy policies. We are not responsible for the availability or performance of third-party services.

Quiltt: Your financial data is accessed through your Quiltt-enabled Google Sheets.

Stripe: Payment processing, subscriptions, and invoicing use APIs provided by Stripe. You must maintain valid accounts with this provider.

OpenAI and Gemini: Certain optional AI-powered features use OpenAI and Google Gemini to provide bookkeeping assistance, transaction review, financial statement analysis, receipt parsing, business discussions, and related AI functionality. Information necessary to perform these features may be securely transmitted to these providers for processing. Your use of these features is also subject to the applicable terms and privacy policies of the respective AI provider. 

4. User Responsibilities

You agree to:

Use the Service in compliance with applicable laws and regulations.

Ensure the accuracy and legality of the data you input or sync.

Not use the Service for any illegal, fraudulent, or abusive purpose.

5. Data Access and Permissions

The Service operates entirely within your Google Workspace account via Google Apps Script. The Service primarily operates within your Google Workspace account through Google Apps Script.

Certain features require securely transmitting limited information to trusted third-party providers in order to function, including payment processors, bank connectivity providers, email providers, tax filing providers, and AI service providers.

Only the information necessary to perform the requested service is transmitted.

The permissions requested via Google OAuth allow the Apps Script to function within your account only, including accessing and modifying your Google Sheets, sending emails on your behalf, and managing related Drive files.

5A. Secure Account Connections

When connecting your Stripe or bank account to the Service, you authorize secure third-party connections through OAuth and industry-standard protocols. We do NOT store your payment credentials, bank login information, or API keys on your behalf.

- Stripe connections are managed directly through Stripe's secure OAuth flow

- Bank connections are managed through Quiltt's secure session authentication

- Your bank data and payment information remain with Stripe/Quiltt

- Only non-sensitive connection identifiers are stored in your Google Sheets environment for reference and transaction syncing

You can revoke access at any time through your Stripe dashboard or bank settings in the Service. No credentials are stored that would allow us to 

access your accounts directly.

By using the Service, you acknowledge that you understand and accept the risks associated with granting access to your payment processing services.

5B. AI-Assisted Features

SunBooks includes optional AI-powered features that may assist with:

• Transaction categorization and review

• Bookkeeping questions

• Financial statement review

• Business discussions

• Tax and accounting research assistance

• Other bookkeeping-related tasks

When you use these features, relevant information from your books may be securely transmitted to OpenAI or other AI service providers solely for the purpose of generating a response.

AI-generated responses are provided for informational purposes only and may contain errors or omissions. They do not constitute accounting, tax, legal, investment, or other professional advice. You remain responsible for reviewing all AI-generated recommendations before relying on them.

6. Payment and Subscription

Subscription payments are processed through Paddle and are non-refundable unless otherwise stated. Subscriptions are on a monthly basis and can be cancelled for the coming month.

You are responsible for canceling subscriptions before the renewal date to avoid additional charges.

7. Termination

We reserve the right to suspend or terminate your access to the Service at any time if we believe you are violating these Terms or using the Service inappropriately, for non-payment, or if you are using the service in a manner that violates the law. If your access is terminated, you will retain your financial data in Google sheets, but features such as bank feed updates, invoicing and others may cease to function properly.

8. Disclaimer of Warranties

The Service is provided “as is” and “as available.” We do not warrant that the Service will be uninterrupted, error-free, or fit for your specific financial needs. You assume full responsibility for using the results generated by the Service. This includes reports, calculations, AI-generated responses, transaction suggestions, bookkeeping recommendations, and other outputs produced by the Service.

9. Limitation of Liability

To the fullest extent permitted by law, American Bookkeeping Services LLC and its affiliates shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of or inability to use the Service.

10. Changes to Terms

We may update these Terms from time to time. Continued use of the Service after changes become effective means you agree to the new Terms.

12. Data Security and Confidentiality

We implement reasonable technical and organizational safeguards within the Apps Script environment to protect your data, including API keys and financial records accessed via Quiltt and Stripe. However, since the Service operates solely within your Google Workspace account, the security of your data primarily depends on your account security.

We encourage you to:

Use strong passwords and enable two-factor authentication on your Google account.

Periodically rotate your API keys.

Monitor connected services for unauthorized activity.
