SunBooks is a bookkeeping and business-management software service operated by American Bookkeeping Services LLC (“SunBooks,” “we,” “us,” or “our”). This Privacy Policy explains what information SunBooks collects, how we use and protect that information, when information may be shared with service providers, and the choices available to users.
This Privacy Policy applies to the SunBooks website, SunBooks software, and related services.
When you create or use a SunBooks account, we may collect information such as your name, email address, telephone number, business name, business address, business type, tax-related business information, and settings necessary to configure your SunBooks account.
SunBooks may use Google authentication and Google APIs to provide features that integrate with Google services.
Depending on the features you authorize, SunBooks may access information necessary to identify your Google account and interact with Google services used by SunBooks, such as Google Sheets and Google Drive.
For example, SunBooks may use Google APIs to:
identify and authenticate the signed-in user;
create, access, or update SunBooks bookkeeping spreadsheets;
read and write bookkeeping information stored in spreadsheets used by SunBooks;
access or store documents associated with SunBooks workflows, such as bank statements, receipts, invoices, or other business records; and
perform actions specifically requested by the user through SunBooks.
SunBooks only requests Google permissions that are used to provide or support SunBooks functionality.
SunBooks' use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
SunBooks may process financial information that users provide directly or connect through supported financial-data providers. This may include:
bank and credit-card transactions;
account names and balances;
transaction descriptions and merchants;
bookkeeping categories;
general-ledger entries;
reconciliations and bank statements;
income and expenses;
accounts receivable;
invoices and estimates;
payments;
loans;
assets and capital-gain information; and
other information necessary to provide bookkeeping and financial-reporting functionality.
SunBooks may use third-party financial-data providers to retrieve financial-account information when a user chooses to connect an account.
SunBooks does not sell users' financial information.
Users and their authorized employees or representatives may upload receipts, bank statements, invoices, tax documents, and other business records.
SunBooks may process these documents to extract information, associate documents with transactions, identify potential bookkeeping matches, prepare reports, and otherwise provide requested bookkeeping functionality.
Businesses using SunBooks may enter information about people and organizations with whom they do business. This can include:
customer names and contact information;
vendors and payees;
employees;
contractors;
owners;
invoices and estimates;
payment information and transaction history;
employee time records;
reimbursement information;
W-9 and 1099-related information; and
other records entered by the business for bookkeeping or business administration.
The business using SunBooks is responsible for ensuring that it has an appropriate legal basis or authorization to provide this information to SunBooks.
Certain optional SunBooks features, such as employee time-clock functionality, may collect location information when enabled and permitted by the user.
For example, a business may use location information to record or verify where an employee clocks in or out.
SunBooks does not collect location information through these features unless the relevant functionality is enabled and appropriate device or browser permissions have been granted.
SunBooks may process information necessary to assist users with bookkeeping and tax-related workflows. Depending on the features used, this may include business entity information, employer identification numbers, contractor information, tax classifications, sales-tax information, W-9 information, 1099 information, and information used to estimate taxes.
SunBooks is bookkeeping software and does not replace professional legal, tax, or accounting advice.
When users purchase SunBooks or businesses accept customer payments through supported payment providers, payment information may be processed by third-party payment processors.
SunBooks may receive information about the transaction, such as payment status, amount, customer, and transaction identifiers. Complete payment-card information may be handled directly by the payment provider rather than stored by SunBooks.
We may collect technical information necessary to operate, secure, and improve SunBooks, including IP address, browser and device information, timestamps, application errors, authentication events, and information about how SunBooks features are used.
SunBooks uses collected information to:
provide bookkeeping and accounting functionality;
authenticate users and maintain accounts;
import and categorize transactions;
maintain general-ledger records;
reconcile accounts and statements;
associate receipts and documents with transactions;
generate financial and bookkeeping reports;
create and manage estimates, invoices, payments, and change orders;
support employee timekeeping and reimbursement workflows;
support contractor, W-9, and 1099 workflows;
support sales-tax and other tax-related workflows;
communicate important account, transaction, tax, or service information;
detect errors, fraud, abuse, and security threats;
troubleshoot and improve SunBooks;
provide customer support; and
comply with applicable laws and legal obligations.
Where SunBooks provides automated suggestions, including AI-assisted categorization or bookkeeping suggestions, relevant business or transaction information may be processed to generate those suggestions.
Users remain responsible for reviewing bookkeeping entries, reports, tax information, and automated suggestions for accuracy.
SunBooks accesses Google user data only after receiving authorization from the user through Google's authorization process.
SunBooks uses Google user data only to provide or improve user-facing SunBooks functionality requested or authorized by the user.
SunBooks does not sell Google user data.
SunBooks does not use Google user data for advertising.
SunBooks does not transfer Google user data to third parties except when necessary to provide or improve user-facing functionality, when the user directs or consents to the transfer, for security purposes, or when required by applicable law.
Human access to Google user data is limited to circumstances such as when a user provides explicit permission for support, when access is necessary for security or abuse investigation, or when required by law.
SunBooks' use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.
SunBooks uses third-party service providers to operate portions of the service.
Depending on the features a user chooses to use, these providers may provide services such as:
cloud hosting and data storage;
authentication;
banking and financial-data connectivity;
payment processing;
tax and information-return services;
sales-tax services;
email and text-message delivery;
document processing;
error monitoring; and
other infrastructure required to operate SunBooks.
Information is shared with these providers only as reasonably necessary to provide the applicable service or integration.
SunBooks does not sell personal information to these providers.
Users may choose whether to use optional integrations where applicable.
SunBooks may use automated systems or artificial-intelligence services to assist with tasks such as transaction categorization, document analysis, receipt processing, matching records, identifying missing information, or generating bookkeeping suggestions.
When an AI-assisted feature requires information to be processed by a service provider, SunBooks limits the information provided to what is reasonably necessary to perform that function.
AI-generated suggestions may be incorrect. Users should review automated bookkeeping and tax-related suggestions before relying on them.
We do not sell or rent personal information.
We may disclose information:
to service providers necessary to operate SunBooks;
when a user requests or authorizes an integration;
to authorized members of the user's business account;
to comply with law, regulation, subpoena, court order, or other lawful process;
to investigate fraud, security incidents, or abuse;
to protect the rights, property, or safety of SunBooks, our users, or others; or
in connection with a merger, acquisition, financing, reorganization, or sale of some or all of the business, subject to applicable law.
SunBooks uses reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, alteration, disclosure, or destruction.
These measures may include access controls, authentication, encryption provided by our infrastructure providers, restricted credentials, and monitoring of application and infrastructure security.
No electronic system can be guaranteed to be completely secure, and SunBooks cannot guarantee absolute security.
SunBooks retains information for as long as reasonably necessary to provide the service, maintain business and accounting records, comply with legal obligations, resolve disputes, prevent fraud, and enforce agreements.
Retention periods may vary depending on the type of information and the features used.
Businesses may also have independent legal obligations to retain accounting, payroll, employment, or tax records.
Users may request access to, correction of, or deletion of personal information maintained by SunBooks, subject to applicable legal and record-retention requirements.
Users may also disconnect supported integrations or revoke Google authorization through their Google Account.
Revoking authorization prevents future access through that authorization but does not necessarily delete information previously stored in SunBooks where retention is necessary or legally required.

SunBooks may use cookies, local storage, and similar technologies to authenticate users, maintain sessions, remember preferences, protect accounts, and understand application performance.
SunBooks does not sell information collected through cookies for behavioral advertising.
SunBooks is intended for businesses and individuals using business-management and bookkeeping services. It is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
We may update this Privacy Policy as SunBooks develops or as legal, regulatory, or technical requirements change.
